Improved Group Management Permissions

We’ve run into several issues related to group management that we’d love to see addressed in a future update:

🔧 Requested Features:

  1. Ability to Delete Any Group (Even If View-Only):
    Admins should be able to delete any group, even if it was created by another user or marked as “view only.” Currently, we cannot clean up old or unused groups unless the original creator deletes them — which is unscalable when managing large teams and legacy data.

  2. Restrict Group Creation by Role:
    We need more granular user permissions to prevent certain roles from creating new groups, while still allowing them to view and/or edit contacts. Currently, permissions do not allow us to separate "edit contacts" from "create groups."

  3. Visibility into Group Ownership:
    There’s no way to tell which user created which group. Please add a field or column that shows the creator or owner of each group so admins can manage and clean them up effectively.

Why This Matters:

We currently have 200+ groups created across the team, many of which are duplicates, outdated, or not maintained. Without the ability to manage or trace them, it becomes a bottleneck and adds unnecessary clutter.

Thanks for considering, this would really help with managing larger teams and maintaining clean data inside Ontraport.

Hi Justin!

Today, we released Group manager, which includes several features to help you stay organized and keep your data clean.

One of the features in this update includes the ability to bulk delete groups. When you do this, only owners will be able to remove the group from the account completely; the delete action will hide the group from the user's view. I recognize that your request is for the admin ability to delete groups across your account entirely, but I wanted to ensure that you are aware of the new options to clean up.

The new Group manager also includes an owner column for visibility into group ownership.

We are planning on more updates to the Group manager, and we'll update you when they are released.

Thank you for sharing this feature request. This feature is already planned. While we don’t have an exact release date yet, it’s on our radar and plan on starting development soon.
